Note: Zoho and HubSpot's "starter" tiers are limited — Zoho Standard caps at 100,000 records, HubSpot Starter is missing key automation. Most businesses upgrade within 6–12 months.
The hidden costs — where budgets blow up
Setup and data migration
If you're moving from Excel or another CRM, someone needs to import your contacts, deals, and history. Vendors offer this service but charge for it. Typical Indian SMB migration costs:

Add-ons that quietly appear on the bill

How to actually save money
A few tactics that consistently reduce CRM spend for Indian SMBs without hurting outcomes:
Buy annual, not monthly. Most vendors give 15–20% off for annual billing. On a ₹1,00,000 annual spend, that's ₹15,000–₹20,000 back in your pocket.
Don't over-license. If you have 10 salespeople but only 6 are active users, buy 6 seats and rotate. Or split into "power" seats and "view-only" seats — most CRMs offer this at reduced cost.
Negotiate on multi-year deals. Zoho, Freshsales, and Salesforce all discount 20–30% on 2- or 3-year commits. Salesforce specifically will drop 40% if you're a startup with growth story.
Skip the tier upgrade until it hurts. Vendors will push you to upgrade for features you don't use. Wait until your team is actively blocked by a limitation before spending more.
The GST question
Every CRM billed to your business in India adds 18% GST. So a "₹1,300/user/month" plan is actually ₹1,534/user/month. You can claim it as input tax credit if your business is GST-registered, but factor it into cashflow.
Foreign vendors (HubSpot, Pipedrive, Salesforce, monday.com) also add GST via reverse charge mechanism if you're using them for business purposes. Zoho and Freshsales bill directly with GST.
